About the Position
Job Summary:
The Operations & Property Coordinator provides vital administrative, systems, and operational support while serving as a central backbone for housing operations. This position plays a key role in vendor logistics, compliance tracking, database management, record keeping, reporting, and filings while supporting leadership.
Duties/Responsibilities:
- Perform numerous tasks within Salesforce, including updating records, maintaining accurate data, and running reports
- Update and maintain asset records across spreadsheets, Salesforce, and other applicable systems
- Support interior design projects by managing furniture and décor orders, coordinating vendors, and tracking project timelines, status, budgets and maintaining/communicating project schedules
- Oversee various facility preventative maintenance contracts, maintaining accurate contract records, tracking renewal dates and ensuring service visits are executed
- Manage chapter storage unit rentals, including rental contract administration, new rental arrangements, and rate negotiations
- Maintain and update master spreadsheets, including historical rates, campus enrollment, Member agreements, occupancy data, and membership records
- Document financial responses, notes, and status updates in the appropriate systems to ensure clear communication and complete audit trails
- Manage and track RPM (Regional Property Manager) travel schedules, visit checklists, and follow-up action items across chapter locations
- Draft, organize, and distribute quarterly budget communications and updates to House Directors across all chapter locations
- Assist with the Educational Area Grant (EAG) program, including preparing applications and reports, tracking projects, and collecting and processing invoices
- Facilitate RMA creation and process member agreements through Adobe Sign, tracking execution status, reminders, and completed documentation
- Generate, organize, and summarize member survey data to generate operational insights and support property management decisions
- Conduct research and gather market and operational data to support leadership decision-making and property management initiatives
- Maintain Mitty (SafetyCulture) report workflows, tracking report completion, filing and distributing reports and ensuring follow-up action items are communicated to appropriate staff members
- Coordinate cleaning and landscaping annual evaluation by reviewing vendor schedules, tracking performance quality, and monitoring price.
- Maintain and reconcile accurate facility resident rosters across properties, ensuring alignment with Resident Member Agreements and any other occupancy records. alignment
- Collect and distribute accurate member emergency contact records to facilitate rapid communication during an emergency
- Process and organize digital mail, incoming electronic correspondence, and document distribution to ensure timely routing to appropriate team members

Required Knowledge/Skills/Abilities:
- Goal and team oriented, able to work independently while staying aligned with team goals
- Comfortable working remotely
- High attention to detail, organizational skills, and time management
- Working knowledge of Microsoft Office, including Excel
- Strong written and verbal communication skills
- Willing to learn internal systems and terminology unique to Alpha Gamma Delta
- Able to prioritize tasks in high-pressure situations with minimal oversight
Education:
- High School Diploma or equivalent required
- College Degree in Business Administration, Communications, Real Estate, or a related field preferred
Experience:
- 2+ years of administrative support, office management, or property management operations experience required
- Demonstrated experience working within CRM tools (e.g., Salesforce), digital signature platforms, and database/spreadsheet management software
Physical Demands/Work Environment/Travel:
- This is a remote position; work is primarily performed in a home office environment
- May require occasional travel for team meetings or training
- Must possess valid driver’s license
